Team
Manage users, invite team members, assign roles, and track activity.
What this page does
The Team page manages the people who have access to your workspace. Invite technicians, managers, and admins, assign access roles, and track who is using the system.
Invite form
If self-service invites are enabled (controlled in Settings), an invite form appears at the top. Enter an email address and select a role to send a magic link invitation.
If self-service invites are disabled, a message indicates that you need to contact your Planara admin to add users.
User access roles
These are backoffice access roles, not the content-display roles configured on the Roles page.

| Super Admin | Full access to all namespaces. Cannot be changed or deactivated via this page. Shown with a purple badge. |
| Tenant Admin | Full access to this namespace: documents, evals, roles, settings, users. Can invite new users. |
| User | Query access only. Can use the technician/operator frontend but cannot access the backoffice. |
Changing a user's role
For non-super-admin users, click the role dropdown in the user row and select a new role. The change takes effect immediately.

Deactivating a user
Click "Deactivate" and confirm. The user loses access immediately. Their row becomes dimmed. There is currently no reactivation option in the UI -- contact Planara support to reactivate a user.
Query tracking
The "Queries" column shows how many queries each user has submitted, derived from trace records that include user_email. This helps identify:
- Power users who rely heavily on Planara
- Inactive users who may need training or encouragement
- Usage patterns across your team
FAQ
Q: Can I change a super admin to a regular user? A: No. Super admin roles are managed at the system level, not per-namespace.
Q: What happens when I deactivate a user? A: They immediately lose access to both the backoffice and the technician/operator frontend for this namespace. Their historical data (queries, feedback) is retained.
Q: How do users log in? A: Via magic link (passwordless email authentication). When invited, they receive an email with a login link. The link is valid for 24 hours.
Q: Can users belong to multiple namespaces? A: Yes. A user's email can be associated with multiple namespaces, each with a different role.
